Dr. Ferriol has been a key driver, showing almost 15% referral growth with strong communication efforts. Dr. Kreitzer has also contributed positively over the past two months through increased engagement with referring partners, including lunches and dinners. Both providers' outreach efforts are directly credited for this momentum shift.
Dr. Kreitzer currently tracks his meetings and dinners with referring doctors on his phone. These records need to be transferred into Referral Lab to ensure accountability and accurate reporting. Austin will coordinate this transfer to maintain a complete and verifiable outreach record.
The established goal is 14 office visits per month. April fell short of this target and May visits were missed entirely due to the treatment coordinator being out sick. Austin will prioritize 6 to 8 visits next week to begin making up for lost ground.
Office visits are intended to supplement and sustain the momentum generated by Dr. Ferriol's and Dr. Kreitzer's provider outreach. Consistent visits reinforce relationships being built through lunches and dinners, creating a more complete outreach program.
Going forward, monthly marketing events should be created in Referral Lab for both Dr. Ferriol and Dr. Kreitzer, with all office visits and outreach efforts logged under each respective event. Dinners must be logged as separate events to enable accurate ROI tracking and reporting distinct from general visit activity.
The Partner Notes Analysis was introduced โ a report that correlates provider notes with referral numbers, helping Austin identify which providers to prioritize for visits based on referral effectiveness. This tool supports more targeted and data-driven outreach planning.
Dr. Kreitzer's videos have been received and assigned to Korinne for upload to the practice's YouTube channel. Progress is being tracked in Smartsheet. Once live, the videos will also be reviewed for placement on the practice website.
A third-party vendor, My Social Practice, will refresh the website's branding and aesthetic, with the build scheduled for June or July. Austin, Dr. Kreitzer, and Dr. Ferriol will all have the opportunity to review and edit content upon completion.
A larger event is being planned for June or July, with the budget currently allocated for June. Austin will confirm the preferred month and date with Dr. Maria and Dr. Kreitzer and notify Jayme if June is not feasible so the budget can be moved to the appropriate month without delay.
The office is currently below revenue goals for the month, with limited scheduling availability remaining. Patient financing options โ CareCredit and Proceed โ are in use, and staff are being trained to offer financing to every patient. Post-COVID approval rate challenges remain a contributing factor.
Austin identified difficulties reaching patients for follow-up after consults, particularly for pre-Ds. A proposed solution is to schedule review appointments six weeks out at the time of consult to improve contact rates and case acceptance.
The practice has seen an increase in lower-value SRP referrals. To shift the referral mix toward higher-value procedures, Jayme recommends using partnership letters to encourage referring doctors to send cases for implants and All-on-X procedures. Austin will review example letters with Dr. Ferriol and Dr. Kreitzer to assess their interest and confidence in handling complex cases, and determine whether tailored marketing materials should be developed.
