After a slower May, June is already rebounding nicely. No referral concerns at this time. The company scorecard shows an average treatment presented of nearly $5,000 and average accepted of $4,666, with a time to conversion of approximately 35 days โ€” a figure largely driven by Dr. Hodges' two-day-per-week schedule at each location, which is a structural constraint rather than a performance issue.

The Partner Notes Analysis was reviewed, correlating office visit notes with referral volume. Notable findings: Dr. Cliff Kirby โ€” 1 visit, 8 referrals; Dr. Bart Hayes โ€” 1 visit, 14 referrals (a high-value partner deserving consistent attention); Dr. Karen Williamson โ€” 4 visits, 62 referrals (exceptional return). Some providers with multiple visits showed zero referrals, which Leslie provided helpful context on โ€” several are part of group practices where referrals are attributed to a lead provider. This report will be a useful ongoing tool for prioritizing future outreach.

June Office Visits โ€” 30+ Rockwall Offices

The team divided and conquered for June outreach. Leslie, Haley, and Ashley collectively covered 30+ offices in the Rockwall area. Casey conducted additional outreach separately in the Texarkana/Paris area. A standout moment: Ashley visited her former office, which is one of the practice's top referring partners โ€” creating a valuable dual connection. A new provider visit was made to Dr. Mann's office (a practice that reopened after a prior doctor's passing, with Dr. McNeill โ€” an existing relationship โ€” now on board). They confirmed continued referrals despite differing insurance structures. The team confirmed all touch point goals were met this month.

A few providers on the dashboard were skipped because their original referrals came from patients who had relocated โ€” not from the office directly โ€” making a visit of low strategic value. For legitimately distant offices that are actively referring, Jayme recommended catering a lunch or sending a handwritten thank-you note signed by Dr. Hodges as cost-effective alternatives to in-person visits when travel is not practical.

Referral Lab โ€” Monthly Marketing Event Logging

Marketing events have already been created in Referral Lab for both Rockwall and Paris โ€” June 2026. Leslie needs to add all providers visited this month to the respective location event. The process: pull reports from Haley, Ashley, and Casey's notes logs, then add each provider to the correct event. If any marketing dollars were spent on goodies or treats, enter the grand total โ€” the system distributes the expense across all listed providers automatically. ROI analysis at 30, 60, 90, and 180-day intervals will begin in early October. Provider notes should continue to be added separately in parallel for now.

Context

Rockwall's average time to exam is approximately 36 days; Paris is approximately 31 days. Both figures reflect Dr. Hodges' two-days-per-week availability at each location โ€” a structural reality, not a scheduling failure. The practice requires new patient deposits, which contributes to a zero no-show rate for new patients โ€” a positive outcome of strong vetting even if it creates some initial patient friction. Jayme noted this is the right tradeoff: it's better to vet patients upfront than waste Dr. Hodges' limited chair time.
