Key Discussion Topics
- Website issues: The About Us / doctor bios page is returning a 404 and needs to be fixed right away, several other links are broken, and all photos are out of date. Ownership of the site was unclear going in — we confirmed during the call that it's hosted in-house, so edits can move quickly.
- Possible full site rebuild: Sandhills is already on the website rebuild tracker for October. Brooke doesn't think a full rebuild would be a bad idea, since the original site build wasn't done by a team familiar with dentistry — but we agreed to hold off on major changes until that October window and just knock out quick, high-priority fixes now.
- Marketing budget: Sandhills has never had a defined marketing budget or spent more than a couple hundred dollars historically. Brooke wants clear guidance on what's reasonable to spend per referring provider so outreach doesn't start affecting the bottom line.
- Referring provider landscape: We talked through recent shifts among referring dentists — a couple of longtime referrers have retired or sold their practices, and Sandhills shares a building with a competing specialist, which adds some nuance to how implant and prosthodontic services get positioned. Any marketing around all-on-four or final prosthesis work needs to be carefully coordinated given contractual sensitivities with the doctors.
- Capacity constraints: Brooke wears several hats at the practice (office manager, patient care coordinator, treatment plan follow-up) so time available for outside visits is limited and schedule-dependent. We agreed there's no fixed quota for now — she'll build a plan around days she's already out of the office.
Marketing Initiatives Discussed
- Website edit request: Brooke will submit a marketing request form detailing the broken links and doctor bios page, along with a Dropbox link to updated, labeled professional photos.
- Referring provider visits: For the next 30–60 days, Brooke will focus her outreach on the practice's top referring providers, prioritizing anyone who's gone quiet recently and thanking those who've picked up referrals, at a pace that fits her schedule.
- Monthly budget guidance: We'll loop in SGA leadership to establish a defined monthly marketing spend guideline Brooke can plan around.
Wins & Opportunities
Sandhills' referral volume is holding steady year-over-year despite several longtime referring dentists retiring or selling their practices, and the number of active referring providers is trending in the right direction. The internet also showed up as a new referral source in the last month, a good sign that the practice's web presence is starting to work in its favor even before the planned site improvements land.
