Personal introductions before patients see the new doctor's name on a referral
Format
Small-group lunch or dinner (2–3 referring offices at a time), hosted by the sponsoring doctor with the new doctor as guest of honor.
Cadence
~2 introductions per week during pre-launch and the first 30 days post-start – all top 10 providers met within roughly 5 weeks.
Owner
The Practice Team coordinates scheduling and logistics; the sponsoring doctor extends the personal invitation.
Talking Points for Every Introduction
Welcoming the new doctor – and thanking the referring network that makes the practice possible
Recommended timing: 45–60 days after start date (~Day 45–60) – enough time for the new doctor to settle in while the “new provider” moment is still fresh.
After-hours event at the practice. Lowest cost and easiest to schedule; best if the invite list runs large or informal.
Recommended default. Elevated feel that matches a “referral appreciation” tone, while staying intimate and easy to manage.
Country club or event space. Most memorable option; highest budget and logistics lift.
Planning Checklist
Led by the Practice Team, with the sponsoring doctor and new doctor attending
Website, social, and email launch in sync with the referring-doctor outreach
Website Update
Collect the new doctor's bio and professional headshots (target: complete by Day -14); publish a provider page with credentials and care philosophy.
Day -7 Announcement
Public announcement about a week before the new doctor's start date, across website, social channels, and the patient newsletter/email.
Referring-Provider Email Campaign
Coordinate so referring offices hear the news at the same time as patients, reinforcing the in-person introductions.
Note: SGA marketing does not currently have the internal resourcing to manage this centrally – for now, the referring-provider and patient announcements should be planned and executed at the practice level.

Ramp-Up & Check-Ins
The engine that keeps referral growth going after day 90 – lives inside the new doctor's marketing playbook
The top-10 launch gets the new doctor in front of the practice's best current referrers. The Growth Engine below is the repeatable system – and living playbook section – that keeps expanding the referral base long after day 90, maintained by your practice's Practice Relations Director and your Practice Growth Manager and reviewed quarterly.
Repeats continuously – a rolling cycle, not a one-time list
Prospect List – Three Tiers (template)
| Tier | What It Covers | Examples / Source | Status |
|---|---|---|---|
| Tier 1 – Immediate Launch | Top 10 referring providers already in this plan | Referral Lab ranks #1–#10 (your practice's report) | In progress – lunch/dinner series |
| Tier 2 – Secondary Providers | Next-ranked referring providers, currently lower volume | Referral Lab ranks #11–#20 (your practice's report) | Growth engine outreach begins Day 30–60 |
| Tier 3 – Untapped Prospects | General dentists, oral surgeons, orthodontists & physicians in the area not yet referring | Identified via Referral Lab data, local directories, insurance panels | Ongoing – target 2 new prospects/month |
Visit frequency, visit types, and best practices that power the growth engine
| Phase | Days | Visit Type | Target Volume |
|---|---|---|---|
| Pre-Launch | Day -30 to -1 | Lunch/dinner intros (Tier 1) + intro packet deliveries | ~2 visits/week |
| Launch | Day 0 to 30 | Lunch/dinner intros continue + Referral Growth Engine & Prospect List finalized | ~2 visits/week |
| Integration | Day 31 to 60 | Follow-up/thank-you visits + Appreciation Event + Tier 2 prospecting begins | ~1–2 visits/week + 1 event |
| Growth & Review | Day 61 to 90 | Tier 2/3 prospecting continues + KPI review | ~1 visit/week |
Target: ~30–35 total referring-provider touchpoints across the 120-day window

How we'll know the plan is working
| KPI | Baseline | 90-Day Target |
|---|---|---|
| External Referral Volume | ~60 per full-time provider (pre-onboarding baseline) | Combined referral volume increases, once the new doctor completes a 90-day clinical onboarding (Day 0 – Day 90) |
| Top-10 Provider Introductions | 0 scheduled at plan start | 10 of 10 completed by end of Phase 1 (Day 30) |
| Appreciation Event Attendance | N/A | 70%+ of invited referring offices attend or send a representative |
| Online Referral Volume | Recent monthly average (see practice analytics) | Maintain or increase monthly average through the window |
| Referral Growth Engine | Not started | Finalized by Day 15 |
Note: the external referral volume KPI is measured over the standard 90-day clinical onboarding period starting Day 0 – distinct from the Day -30–Day 90 marketing outreach calendar above.
Who owns what across the 120-day plan
| Role | Name | Responsibilities |
|---|---|---|
| Practice Growth Manager | Practice Growth Manager | Drives the digital campaign, facilitates check-in sessions, and maintains the growth engine/prospect list |
| Sponsoring / Partner Doctor | sponsoring doctor | Hosts referring-provider introductions, represents the practice at the Appreciation Event |
| New Provider | new doctor | Attends introductions and the Appreciation Event, supplies bio/headshot content |
| Practice Team | practice staff | Leads lunch/dinner scheduling and logistics, leads Appreciation Event planning and logistics, supports patient and referring-partner communications |
