How to Share Marketing Platform Access with SGA

Step-by-step instructions for every platform. Follow only the sections that apply to your practice. Starred items (⭐) are required.

Use this email for every platform

Before You Start

  • Use xmark6527@gmail.com on every platform — do not substitute a different address.
  • Always grant the highest available permission level (Owner, Admin, Full Control). The correct level is listed in each section.
  • For platforms that need SGA to already have an account (Instagram, TikTok), SGA will set that up first and give you any username needed.
  • If you hit a wall on any step, use the orange "Can't find it?" box at the bottom of that section.

Website CMS (WordPress)

Requesting Administrator — highest WordPress role; full control over content, plugins, and users

WordPress is the most common website platform in dentistry. To check: add /wp-admin to the end of your website address. If a login page appears, you're on WordPress.

  1. Go to yourpractice.com/wp-admin and log in.
  2. In the left menu, click Users, then Add New.
  3. Fill in the fields:
    • Username: sga-admin
    • Email: xmark6527@gmail.com
    • First Name: SGA  ·  Last Name: Admin
  4. Let WordPress generate a password, or create one. You'll share it securely (see the Security section).
  5. Check the box: Send User Notification — this emails the login link to SGA.
  6. In the Role dropdown, select Administrator.
  7. Click Add New User.
ℹ️ Not WordPress? Look for a "Users," "Team," or "Account Access" section in your site's dashboard and add xmark6527@gmail.com as Administrator or Owner. If your site uses WordPress Multisite, SGA will need Super Admin — ask your webmaster.

Domain (GoDaddy or Similar)

Requesting Delegate Access — Products, Domains & Purchases — highest delegation level; does not expose your password or billing card

Your domain is your web address (e.g. yourpractice.com). It's registered through a company like GoDaddy. The steps below are for GoDaddy — the most common registrar.

  1. Go to account.godaddy.com and sign in.
  2. Click your name or avatar in the top-right corner, then click Account Settings.
  3. In the left menu, click Delegate Access.
  4. Click Invite to Access.
  5. Enter:
    • Name: SGA Admin
    • Email: xmark6527@gmail.com
  6. Under access level, select Products, Domains & Purchases. This is the highest level.
  7. Click Send Invite. SGA will accept by email.
⚠️ GoDaddy requires two-step verification to be enabled on your account before Delegate Access works. GoDaddy will prompt you to set it up if it's not already on — it takes about 2 minutes.
ℹ️ Not on GoDaddy? Look for "Delegate," "Grant Access," or "Manage Users" in your registrar's account settings. Add xmark6527@gmail.com with the highest available permission. Not sure who your registrar is? Check a recent annual renewal bill or ask your webmaster.

Hosting

⭐ Required
Requesting Admin / Full Account Access — ability to manage files, backups, and technical settings

Hosting is what keeps your website online. It's often through the same company as your domain.

GoDaddy hosting? The Delegate Access you granted in the Domain step above already covers hosting — GoDaddy treats it as a product under the same access level. No additional steps needed.
If hosted elsewhere (Bluehost, WP Engine, SiteGround, Kinsta, Flywheel, etc.)
  1. Log in to that company's customer portal.
  2. Look for Users, Account Access, Team, or Invite User.
  3. Add xmark6527@gmail.com with the highest available permission level.
  4. If the host doesn't support multi-user access, call their support line and ask how to add a secondary administrator.
Don't know who hosts your site? Ask your webmaster, or look at your bank/credit card statements for a recurring monthly or annual charge from a tech company that isn't your internet provider.

ADA Compliance Plugin

Optional
Requesting Admin — highest role in the plugin's dashboard

Many dental websites use an accessibility plugin (look for a small person-in-circle icon on your site). Common ones: accessiBe, UserWay, EqualWeb. Only complete the section that matches your plugin.

accessiBe
  1. Log in to dashboard.accessibe.com.
  2. Go to Team Members and click Invite Team Member.
  3. Enter xmark6527@gmail.com with the Admin role. Send the invite.
  4. After SGA accepts, go to My Licenses → Manage License, scroll to Add your team members, select SGA, and click Save. Both steps are required.
UserWay
  1. Log in to the UserWay dashboard.
  2. Click your avatar → Team Management → Invite Member.
  3. Enter xmark6527@gmail.com, select Admin, and turn on all permission toggles.
  4. Send the invite.
EqualWeb or another plugin
ℹ️ EqualWeb doesn't support self-serve team access on standard plans — contact their support and ask them to add xmark6527@gmail.com as administrator. For any other plugin, look for Team, Users, or Account Access and add xmark6527@gmail.com with the highest role.

Facebook Business Page

Requesting Full Control — highest page-level role (Meta renamed "Admin" to "Full Control" in 2024); manages all content, messages, settings, and users

Your Facebook Business Page is your practice's public Facebook presence. You must be logged into your personal Facebook account to complete these steps.

  1. Go to facebook.com and log in with your personal account.
  2. Switch to your Business Page by clicking your profile picture (top-right) and selecting the Page name.
  3. Click Settings & Privacy → Settings.
  4. In the left menu, click Page Setup, then Page Access.
  5. Under "People with Facebook access," click Add New.
  6. Search for the name or email linked to xmark6527@gmail.com.
  7. Toggle on Full Control.
  8. Click Give Access and confirm with your personal Facebook password.
  9. SGA receives a notification and email — access activates after they accept.
ℹ️ xmark6527@gmail.com must be linked to a Facebook account. SGA will have this set up before you begin.

Meta Business Manager

Requesting Admin Access (as a Person) — full administrative control of the Business Portfolio; different from Partner access

Meta Business Manager (also called Business Portfolio) is the backend tool that connects your Facebook Page, Instagram, and ad accounts in one place. It lives at business.facebook.com.

  1. Go to business.facebook.com and sign in.
  2. Click the gear icon (bottom-left) to open Business Settings.
  3. In the left sidebar, click People.
  4. Click the blue + Add button.
  5. Enter email: xmark6527@gmail.com
  6. Under "Business Portfolio Access," select Admin access.
  7. Click Next. Assign SGA to the relevant assets (Pages, ad accounts) with the highest role for each.
  8. Click Invite. SGA must accept the email invitation to activate access.
ℹ️ No Business Manager account? That's okay — complete the Facebook Page step above and let your Market Manager know. SGA can help you set one up.

Instagram

Requesting Admin — full control over content, comments, messages, and ads

If your Instagram is linked to your Facebook Page through Meta Business Manager, completing the Meta Business Manager step above likely already covers Instagram. Check the method below that applies to you.

Method 1 — Via Meta Business Manager (preferred)
  1. Go to business.facebook.com → Business Settings.
  2. In the left sidebar under Accounts, click Instagram Accounts.
  3. If your Instagram isn't listed, click + Add to connect it.
  4. Go to People, find SGA (xmark6527@gmail.com), click their name, then Add Assets.
  5. Select your Instagram account and assign the Admin role. Save.
Method 2 — Through the Instagram App
ℹ️ Instagram Shared Access requires SGA's Instagram username, not their email. Your Market Manager will provide SGA's username before you start this step.
  1. Open Instagram on your phone and go to your practice's profile.
  2. Tap the three-line menu (top-right) → Settings and privacy.
  3. Tap Account type and tools → Shared Access.
  4. Tap Invite, enter SGA's Instagram username (provided by your Market Manager).
  5. Select the role Admin and tap Invite.

YouTube Channel

Requesting Owner — highest YouTube role; full access to upload, manage, and configure the channel

YouTube is mid-way through a system update. Use Method 1 (YouTube Studio) — it's the current recommended path.

Method 1 — YouTube Studio (Recommended)
  1. Go to studio.youtube.com and sign in with the Google account that owns the channel.
  2. In the left sidebar, click Settings → Permissions.
  3. Click Invite.
  4. Enter xmark6527@gmail.com and select the role Owner.
  5. Click Done, then Save. SGA has 30 days to accept before the invite expires.
Method 2 — Brand Account (Legacy)
  1. Go to myaccount.google.com and switch to your Brand Account (the one linked to YouTube).
  2. Click Manage permissions → person+ icon.
  3. Enter xmark6527@gmail.com, select Owner, click Invite. SGA has 7 days to accept.
ℹ️ There is a 7-day waiting period before a new Owner can delete the channel or remove other users. This is a built-in Google security measure. It does not affect SGA's ability to upload or manage videos.

TikTok Business Account

Requesting Admin — highest TikTok Business Center role; full access to the account and all connected assets

TikTok business access is managed through TikTok Business Center at business.tiktok.com. SGA will set up a TikTok for Business account using xmark6527@gmail.com before you start this step.

  1. Go to business.tiktok.com and log in.
  2. In the left navigation, click Members (under Users).
  3. Click Add Members.
  4. Enter xmark6527@gmail.com and select the role Admin.
  5. Click Next. In the access section, allow access to all assets for full control.
  6. Click Save. SGA accepts via email.
ℹ️ No TikTok Business Center? If your practice TikTok account is just a personal or creator profile, contact your Market Manager before completing this step. SGA will help determine the right setup.

Requesting Owner — second-highest level (Primary Owner stays with you); can edit all profile info, photos, hours, and posts

Your Google Business Profile controls what shows when patients search for your practice on Google Maps or Google Search.

  1. Go to business.google.com and sign in.
  2. In the left panel, click More (three dots or additional menu).
  3. Select Business Profile settings → People and access.
  4. Click Add.
  5. Enter xmark6527@gmail.com and select Owner.
  6. Click Invite. You'll receive a confirmation when SGA accepts.
ℹ️ New owners have a 7-day waiting period before they can delete the profile or remove users — a built-in Google fraud-prevention measure. It does not affect SGA's ability to update your listing starting immediately.

GA4 (Google Analytics 4)

Requesting Administrator — highest GA4 role; full control over analytics settings and data

GA4 tracks visitor traffic on your website. If you're not sure whether your site has it, your webmaster or the agency that built your site would know.

  1. Go to analytics.google.com and sign in.
  2. Click the gear icon (Admin) in the bottom-left.
  3. In the Account column, click Account Access Management.
  4. Click the blue + icon → Add users.
  5. Enter xmark6527@gmail.com and check Administrator.
  6. Click Add. Access is granted immediately — no acceptance needed.

  2. Click the Admin tab at the top.
  3. In the Account column, click User Management.
  4. Click the blue + button → Add users.
  5. Enter xmark6527@gmail.com.
  6. Under Account Permissions, select Administrator.
  7. In the same dialog, set the Container permission to Publish.
  8. Click Invite.

  5. Send the invitation. SGA completes account creation via email.
ℹ️ In Swell, Company Admins cannot edit or remove each other. If access issues arise after this step, SGA will contact Swell support directly.

  1. Log in to Yext. Click the Account Details icon (bottom-left) → Account Settings → Users.
  2. Click + Add Single User.

  4. Under Access Controls, click + Add. Set Role: Account Manager · Scope: Account.
  5. Click Apply, then Add User. Access is immediate.

  1. Log in to Birdeye. Click Settings (top-right) → Account → Users.
  2. Click Add users → Add a single user → Add user.
  3. Fill in: First Name: SGA · Last Name: Admin · Email: xmark6527@gmail.com.
  4. Assign the practice location (or all locations). Set role to Owner.
  5. Keep Send email invite toggled on. Click Add.

Yelp

Optional
Requesting Full User Access — Yelp does not have tiered permission levels; all invited users receive identical full access to manage the listing

Yelp for Business lets you add up to 15 users to manage your listing. Unlike most platforms, there are no permission tiers — anyone you invite gets the same full access the account owner has.

  1. Log in to your Yelp for Business account at biz.yelp.com.
  2. In the left navigation menu, click User Management.
  3. Click Invite a New User (or similar button).
  4. Enter the email address: xmark6527@gmail.com
  5. Select which business location(s) SGA should have access to.
  6. Click Send Invite. SGA will receive an email invitation and can create a Yelp account during acceptance if they don't already have one.
ℹ️ 10 or more locations? If your business has 10+ locations under one Yelp account, the self-serve User Management option may not be available. In that case, contact Yelp Support directly and ask them to add xmark6527@gmail.com as a user.
⚠️ Check your spam folder. Yelp invitation emails sometimes land in Gmail's "Social" tab or the spam folder. Let SGA know once you've sent the invite so they can watch for it.

Only complete this if your practice uses a standalone email marketing tool (Mailchimp, Constant Contact, Klaviyo, etc.) that is separate from Dental Intel or your Practice Management Software.

  1. Log in to your email marketing platform.
  2. Look for Settings → Team, Users, or Account Access.
  3. Select Add User, Invite Member, or similar.
  4. Enter xmark6527@gmail.com and choose the highest available role (Owner, Admin, or Super Admin).
  5. Send the invitation. SGA accepts via email.
ℹ️ If your email is managed through Dental Intel or built into your Practice Management Software, you do not need to complete this step. Contact your Market Manager to confirm.

Keeping Your Accounts Secure

Never Do This

  • Email a password — even in a "private" email
  • Text a password
  • Put passwords in a Google Doc or spreadsheet
  • Paste passwords into a chat or Slack message
  • Share a password verbally on a recorded video call

Best Practice

  • Add SGA by email using role-based access (preferred — most platforms support this)
  • If you must share a password, use a self-destructing link
  • Enable two-step verification on your own accounts
  • Review who has access every January and July
  • Remove access the same week a relationship ends

If You Must Share a Password

Some older platforms don't have "add by email" access. If you're ever asked to share a login, use one of these two methods instead of email or text:

Option 1 — Self-Destructing Link (Free, Takes 30 Seconds)

Go to onetimesecret.com or pwpush.com. Paste the password into the box, click Create, and copy the link. Send that link by email — once SGA opens it, it disappears permanently and cannot be accessed again.

Option 2 — Password Manager (Best for Ongoing Use)

Tools like 1Password (1password.com) and Bitwarden (bitwarden.com) let you store and share passwords without the other person ever seeing the actual password. If your practice doesn't already use one, this is worth setting up.

After You Share Access — Follow-Up Steps

  • Keep a simple log. Write down which platforms you shared, the date, and the email used. A printed page in a locked drawer is fine.
  • Change shared passwords after role-based access is set up. If you gave SGA a temporary password to get started, change it once they have their own login — their access doesn't depend on yours anymore.
  • Turn on two-step verification. Enable it on your Google account, Facebook account, and GoDaddy account. It takes 5 minutes and is the single most effective security step available.
  • Review access twice a year. Every January and July, check the Users section of each platform and remove anyone you no longer work with.
  • Remove access the same week a relationship ends — vendor, employee, or agency. Don't wait.
