Meeting Objectives

What we want to leave with

Grow Dental has already built the three snapshot templates (General Dentistry, Advanced Care, Specialty B2B) inside the SGA agency instance. The purpose of this meeting is not to revisit the architecture — it is to lock the rollout plan, commercials, and guardrails for launching across the network.

Primary Goal

Universal form replacement: retire legacy website contact forms across all General & Specialty offices, replaced with GHL forms feeding a Journey-appropriate pipeline.

Secondary Goal

Specialty office capability to send bulk email to referring doctors, with a downstream option to email prospective patient leads (pre-appointment only).

Non-Negotiable

Simple. Practices without a dedicated lead manager cannot inherit new operational burden — automations must run themselves.

Walk-Out Deliverables

Signed-off journey assignment rule, named pilot batch, form-swap ownership per office type, 12-month cost estimate, deliverability plan for Specialty email.

Read Before The Call

The API key issued for the SGA agency instance today returns HTTP 200 on /locations/search but HTTP 401 on /contacts/. Getting Contacts, Opportunities, Calendars, and Conversations read scopes added to that Private Integration Token is a hard prerequisite for any network-wide reporting rollup.

This is the sneaky-large scope item. Every SGA website is different — Elementor, WPForms, Gravity, Ninja, embedded schedulers, custom builds. Only 75 of the 260 sites sit under MSP; 185 have no unified web vendor.

The default replacement should be an inline embed — not an iframe, not a redirect. Any form data captured by GHL should also mirror to the office's existing notification email so front-desk workflow is unchanged on day one.

Practice Identity — Do Not Let Them Build a Parallel List

Hand Grow Dental the SGA Master Crosswalk (sga-practice-lookup.pages.dev) as the single source of truth for practice names, brand states, and ownership. Sub-account naming must join back to payloc_code. Otherwise the reporting rollup breaks (same class of bug as the pre-2026-06-10 payloc code drift).

Three Challenge Items

“Replace all website forms” is bigger than it sounds

248 sites across mixed platforms with 185 sites having no unified web vendor. If Grow Dental treats this as “here's your embed code, good luck,” the labor lands on SGA by default. Push for a labor commitment — per-site swap hours, per-site QA, per-site rollback plan — and get it in writing before signing off on a rollout schedule.

SGA already built a referral engine

The Referral Growth Engine template (Alpharetta v1) is designed to attract referring GPs to Specialty offices — the same job Grow Dental's Journey 3 is scoped to do. Ask directly: does Journey 3 replace the existing engine, complement it, or duplicate it? Do not pay for both if the answer is duplicate.

Bulk email is a deliverability project, not a feature toggle

Sending B2B email to referring doctors from a new sending domain will land in spam without a real deliverability plan. If Grow Dental glosses over warm-up, SPF/DKIM/DMARC, and list hygiene, Specialty launches, lands in spam, and the field concludes GHL is broken. Make Grow Dental own the deliverability plan explicitly, or acknowledge SGA is running it. Either is fine — ambiguity is not.

Grow Dental has done the template work. The remaining work is: (a) rolling snapshots into 240+ new sub-accounts, (b) doing the form-swap labor per site, (c) making Specialty bulk email actually deliverable at scale, and (d) getting the reporting API pipe open. This meeting exists to distribute ownership of those four items and price them.
