Why Review Tooling Matters
Tooling buys a floor, not a ceiling
WITH TOOLING — 90 GEN4 OFFICES
2 (2%)locations with ZERO new Google reviews last month
9%locations at ≤2 reviews / month
559 +26%average lifetime reviews per location
WITHOUT — 142 SGA OFFICES
23 (16%)locations with ZERO new Google reviews last month
38%locations at ≤2 reviews / month
445average lifetime reviews per location
“A review tool doesn’t make our best offices better — it makes our worst offices stop being invisible.”
+350 reviews/month if the untooled bottom tail merely reached the Gen4 median. The lever is systematic post-visit requests — Dental Intel sends today, GoHighLevel automation in 2027; Social Studio provides the 1–2★ alerts and responses.
Same company, same playbooks, same 30-day window — exact per-listing counts across all 247 active listings, keyed by crosswalk Place IDs (July 2026).
Recommendation
One centralized platform: SGA Social Studio
Reputation
Listings + Yelp/Foursquare
Social
SGA
Social Studio
all 248 locations
Adoption is optional per office. The value is the centralized layer it gives us:
✔
Listings management in one place
hours, phones, addresses updated once, synced everywhere — Yelp & Foursquare add-on for full patient-facing directory coverage
✔
Enterprise social campaigns
EOY Benefits, Aligner Events — built once, published network-wide
✔
Review responses in one place
RODs respond across all their locations from a single queue, with AI Composer & Reply Assistant drafting suggested replies (human review before publish)
Powered by PromoRepublic • existing contracts run to expiration
Data Flow
Where the data flows — today vs. end state
Patient data (PHI side)
TODAY — ~100 GEN4 OFFICES
Dental Intel + Swell
Automated email/SMS review & NPS requests, triggered by patient behavior data
FUTURE — ALL 248 LOCATIONS
Dental Intel
Offices send review & NPS requests manually, post-appointment
2027: GoHighLevel automates sends — separate decision
Public-facing (no PHI)
Swell
responses; 1–2★ ticket to Patient Experience team
Yext
listings — Pulse team
PromoRepublic
social — The Studio
The other 148 SGA & MODIS locations: none of this exists today.
SGA SOCIAL STUDIO — one platform
- Review responses — Office Managers alerted on every 1–2★ review
- Listings — Marketing (Korinne) with Office & Growth Managers
- Social — The Studio
Request automation: automated today (Swell) → manual via Dental Intel from Jan 2027 → GoHighLevel re-automates in 2027
Patient data stays in Dental Intel (and GoHighLevel later) — Social Studio scope is limited to public reviews, listings, and social posts. Private Inbox / DMs disabled.
Vendor Vetting
Proven in production — not a speculative bet
Gen4 in productionGen4 has run PromoRepublic for social scheduling and content for over two years, at scale.
Live SGA pilot3 SGA East locations have been live on PromoRepublic reputation management for the last 45 days.
Alternatives evaluatedAll vendors were formally vetted. Both SGA and Gen4 previously held long Birdeye contracts — we know the field.
Full disclosure: on pure capability scoring, the specialized point tools (Swell, Yext) rank higher. We are choosing consolidation and cost — with the trade-offs itemized later in this deck, not hidden.

AI Integration
The MCP is live today — not a roadmap item
🤖
SGA Social MCP
PromoRepublic exposed to our AI agents through a working Model Context Protocol server — in production now, and contractually included in the new agreement at no additional per-call fee.
gen4engage.com/docs/mcp
Aligned with SGA’s AI-first strategy
✔
Enterprise content distribution
AI agents draft, adapt, and stage content across the network
✔
Multi-location publishing
one instruction fans out to hundreds of location profiles
✔
Centralized listing updates
hours and holiday changes applied network-wide programmatically
✔
Foundation for future automation
each new AI workflow plugs into one platform, not three
MCP scope — public surfaces only: reviews, listings, and social posts. Private Inbox / DM data excluded from MCP — DMs may contain voluntarily shared health information and stay outside AI-tool reach.
Trade-offs
What we give up — stated plainly
VENDOR
WHAT WE LOSE
OUR POSITION
★
Swell (reputation)
Swell is the stronger reviews & NPS tool — HIPAA-compliant, with PMS-triggered requests. Automated triggers go away; NPS moves to manual sends inside Dental Intel, never into Social Studio.
Cost far exceeds our scoped use. 1–2★ reviews now alert Office Managers directly in Social Studio; PRISM is not being implemented, so Swell’s ticketing goes unused.
⚲
Yext (listings)
Yext syncs 100+ directories with real-time duplicate suppression. PromoRepublic covers ~40 US dental-relevant directories directly — Google & Facebook near-immediate, Foursquare ~1 day, Yelp ~7 days — plus the doctor.com healthcare network (Healthgrades, WebMD, Vitals, ~30-45 day sync). Yelp & Foursquare add-on closes the two directories patients actually use.
Core patient-facing surfaces (Google, Facebook, Yelp, key directories) are covered. Long-tail directory gaps are a monitored, accepted trade-off.
🛡
HIPAA scope VENDOR-DEFINED
PromoRepublic confirmed in writing (July 2026): not HIPAA compliant, no BAA. Vendor-supported scope for SGA: import/monitor/report on public reviews, review analytics + AI analysis, drafting responses with human review, publishing approved responses.
Mandatory boundaries: no PHI in platform (incl. AI prompts); no connection to CRM / PMS / clinical / appointment systems; review requests stay in GoHighLevel. Legal safeguards: auto-publish OFF (human review required); Inbox workflows OFF; Inbox data excluded from MCP.
Governance Gate
IT technical review before the larger agreement
Approval today funds the rollout — the expanded PromoRepublic agreement is signed only after IT clears six checkpoints. IT owns this gate; findings return here before signature.
🔑
SSO / identity
Entra ID SSO + role-based access — vendor security docs do not confirm SSO support; verify
☑
Vendor security review
DPA, subprocessor list & ISO 27001 measures in hand — verify gaps: SOC 2, hosting (EU)
🛡
PHI-free scope boundary
Vendor-defined config: no PHI in-platform; no PMS/CRM/clinical connections; auto-publish OFF; Inbox OFF; Inbox excluded from MCP; review requests stay in GHL
🚪
Data ownership at exit
Export rights and portability if we ever leave the platform
🔒
MCP authentication
Review auth model and access controls — gen4engage.com/docs/mcp
📅
Y2 pricing lock
12-month term ends 7/31/27 — cap Y2 rates at Phase 3 tier ($31.30/loc prepay) or renegotiate before next prepay
The Path — Sequenced on Contract Expirations
Four phases. Zero early terminations.

THE ASK — approve the budget and the enterprise rollout of SGA Social Studio, subject to the IT technical review gate.
